Tiny CRM, Lead Automation, and AI SO Setup for Single Hospitality Property

LIVE DEMO REQUIRED OF WIP APP BEFORE AWARDING (web for mobile is fine for demo)

We run a single hospitality property (book or not, not.multiple rooms) and are looking for a reliable freelancer to help us put a simple, effective lead management system in place.

Right now inquiries come in through different channels and in many different formats. Some are detailed, some are brief, some are forwarded from platforms, some are direct messages. We do not control the format of incoming inquiries, so the system needs to handle real-world messy lead intake rather than a single clean web form.

We’d like one clear workflow that helps us respond faster, stay organized, and improve conversions.

This is a small project for someone practical and experienced. We are not looking for a big agency or an overbuilt enterprise solution.

What We Need

1. A Simple CRM / Lead System

We’d like one place to manage inquiries coming from:

Email

Instagram

WhatsApp


Inquiries may arrive as:

direct emails

forwarded platform emails

short messages

long detailed requests

partial information only

back-and-forth conversations


We need the system to capture and organize these varied inquiry formats intelligently.

Open to either:

a lightweight custom solution, or

a well-chosen existing CRM set up properly


The important thing is that it works well and is easy to use.

We need to track:

contact details

inquiry source

notes

lead status

message history where possible

event dates / guest count when available


Suggested stages:

New / Replied / Qualified / Quoted / Won / Lost

2. Automatic First Replies

We’d like new inquiries to receive a quick, polished first response.

Responses should feel warm and professional, not robotic.

Would be great if the system can also send brochures / PDFs automatically when relevant.

3. WhatsApp Setup

We’d like a WhatsApp autoresponder for incoming inquiries, with visibility for us.

Important:

We need to be able to see messages, follow what has been sent, and step in manually when needed.

We don’t want a black-box system.

4. Internal Notifications

When a new inquiry arrives, we’d like our team notified quickly (WhatsApp preferred if practical).

When an inquiry closes, we’d like to record simple reasons.

    Most proposals will skip the cost conversation so I will have it. Zoho plus WATI for WhatsApp plus Zapier to connect everything puts you at $110 to $150 every month for tools you do not own. Over a year that is $1,300 to $1,800 in subscriptions.
    The custom route costs $450 once for everything in your brief. After delivery the only recurring costs are WhatsApp API access starting at $59 per month, which Meta requires regardless of the approach, and hosting at $5 to $10 per month. Nothing else.
    $110 to $150 per month forever for tools you do not own versus $65 to $70 per month for infrastructure you control plus $450 once to build it right.

    I recommend Python with Flask for three reasons:

    1. It handles messy data best. Your inquiries come from different platforms in different formats. Python has the best libraries for extracting dates, guest counts, and names from chaotic emails and forwards. Node.js would struggle here.

    2. It's faster and cheaper to build. Flask is lightweight—I can build exactly what you need in days, not weeks. Less code means fewer bugs and lower cost for you.

    3. You own everything. Python/Flask runs on any cheap hosting ($5-10/month). No forced upgrades, no per-user fees, no vendor lock-in. If you want changes later, any developer can work on it.
