My outbound mail reaches Gmail and every other provider perfectly, yet anything sent to Outlook, Hotmail or live.com (Microsoft) still heads straight to junk or they don’t get it at all . The domain is hosted on delicated server from Leaseweb.com and I have full access to all DNS and server-side settings, so making technical changes is not an issue. SPF, DKIM and DMARC are already correctly published and passing; Microsoft support tickets have been opened more than once, and I have tweaked header settings, sending patterns and content, but the problem always returns. I want a definitive fix that keeps the domain off Microsoft’s spam list for good, not a temporary workaround. https://sender.office.com/ Here is what I need from you: • A comprehensive audit of my current configuration, including header analysis, sending reputation checks (SNDS, Smart Network Data Services, etc.) and any other reputation portals you rely on. • Implementation—or clear step-by-step guidance I can carry out myself—of every technical or policy change required to achieve inbox placement with Microsoft mailboxes. • Proof of success: test emails landing in the primary inbox of Outlook/Hotmail accounts, with header screenshots or logs to confirm no junk placement. • A short document outlining what was changed and any maintenance steps I should follow so the issue does not resurface. If you have deep experience winning Microsoft’s trust back for Google Workspace domains, your help will be invaluable.

Before I start, I have a few questions: What mail server are you using (Postfix, Exim, etc.)? Is the sending IP dedicated or shared? How many emails do you send daily? Are marketing and transactional emails sent from the same IP/domain? Is the IP registered with Microsoft SNDS/JMRP? If yes, what's the status? Is the IP listed on any blacklists? Are PTR (rDNS), HELO/EHLO, and TLS configured correctly? Can you share the full headers of an email that landed in Outlook Junk? Have you received any Microsoft bounce/error codes (550, 421, S3150, etc.)? How old are the domain and sending IP? Do you have full access to the dedicated server, DNS, and mail logs? Can you share your SPF, DKIM, and DMARC records or your domain name for a full deliverability audit?

Hello, I can help identify and resolve the root cause of your Outlook/Hotmail deliverability issues. Since SPF, DKIM, and DMARC are already passing, I'll perform a comprehensive audit of your Google Workspace setup, email headers, Microsoft reputation signals, blacklist status, and sending practices to pinpoint what's affecting inbox placement. Based on the findings, I'll provide and implement the necessary recommendations, verify delivery with Outlook inbox testing and header analysis, and deliver a concise report outlining all changes and ongoing best practices. While no one can guarantee permanent Microsoft inbox placement, I'll apply proven Microsoft and industry best practices to maximize long-term inbox delivery. I'd be happy to discuss your current setup and get started.

I can help identify why emails from your Google Workspace domain are consistently landing in Outlook, Hotmail, and Live.com junk folders, even though SPF, DKIM, and DMARC are already passing. ### Common Causes * Poor domain or IP reputation within Microsoft's network. * Negative sender history or previous spam complaints. * Low recipient engagement signals. * Authentication alignment issues beyond basic SPF/DKIM checks. * Microsoft-specific filtering and reputation triggers. * Content, links, or sending-pattern issues. * DNS or mail-flow configuration inconsistencies.
