**Only Flat Rate Bids Will Be Considered or Responded To** We need a consultant to quickly review what we propose and investigate the marketplace to determine which combination of services/software/systems will work best to meet our goals. The consultant will also provide their estimate as to the type and amount of work necessary to modify/integrate/configure the proposed "mashed" system so that when delivered it would be "ready to deploy." The selected candidate should be able to easily understand and proceed once we provide full details of our prior investigation. The selected consultant will deliver a final report that encompasses the following: 1 Thorough investigation of the market for available options 2 Preparation of high level specs document 3 Pricing the features and the programming work necessary 4 Sending a draft document in 4-5 days 5 Delivering final report in approx. 1-2 weeks time We've already done quite a bit of research and basically determined that the system we need created is available in a "mashup" form utilizing anywhere from two to several services and database with some coding and modification involved. Examples: Example 1: CRM provider, mail/list management provider and database configuration on our server - [login to view URL] and Constant Contact/I Contact/Bronto Mail, etc. and MySQL configuration Example 2: CRM provider, mail/list management software, email relay service and database configuration on our server - [login to view URL] and Arial Software and AuthSMTP/[login to view URL] etc. and MySQL configuration Example 3: combining applications (plugins) and residing them on our server and using either email/list management service or email/list management software and email relay service along with database configuration on our server - several dmx Ready plug-in apps (or something similar), aforementioned mail/list management related services/software and MySQL configuration. ## Deliverables This project will incorporate the experience and the research results of the selected consultant. The primary deliverable will be a final report that encompasses the following: 1- Thorough investigation of the market for available options 2- Preparation of high level specs document 3- Pricing the features and the programming work necessary 4- Sending a draft document in 4-5 days 5- Delivering final report? in approx. 1-2 weeks time **Objectives** Investigate and identify the best method for creating and managing secure (login/password) client accounts. This will include the determination of whether to use an existing service and/or to use our database software (MySQL) configured on our server that is combined or has integrated plug-in apps to handle certain functions that? meet our needs.? Whichever route we go, each client will have to have web access to their account. They will use a client interface to make selections (which email template they want, which content they want from our various archive of materials, etc.). We will also capture general and billing information within the account (so a registration form will be utilized) and keep track of/archive past enewsletters and past selections of content. The accounts will need to have some sort of forms we can modify that will allow clients to make selections and provide input, and that we can capture and act accordingly (example ??" they select template 6, the system should then update and select template 6 into their account). The account will also have to have a section where clients can input/upload content and/or images, as well as their email lists. Finally, need to be able to plug forms into our website that will allow us to capture limited information (examples ??" sign up for our newsletter, provide contact info for follow-up from someone from our company, etc.) and an auto-respond system capable of sending emails in response to client questions/queries/input/selections (categorized by the problem, issue or selection) so we can automatically respond accordingly.? ? Investigate and identify the best method to allow us to house/categorize our archive of content and our enewsletter templates. This should be in a secure place and restricted as to who can view the content and templates. For now, we are assuming this would be in our appropriately configured database. We need to be able to specify which clients have access to which content and/or templates (example: dentists get access to dental archive articles and our dental templates, and no other clients/users have access to the dental templates or archive). We need some sort of input/upload capability. If possible, would want tracking capability so we can track who’s entered which areas (internally), as well as a log system to let us know when someone has been in and what they did (edit articles, etc.) and finally a simple web editor box/form they could plug content/material into to edit on the spot. Investigate and identify the email/list management system or software that will provide best fit (cost, integration, scalability for growth and needs) for our needs. Determine what will need to be done (example - most have API capabilities, so we would need to determine what modifications would need to be completed to fully integrate our system with theirs to accomplish our goals. Investigate and identify how best to create or integrate a system to provide updates, reports and notifications. For example, when a client approves their newsletter for a given month, we need to track that input (entered in their client account) and then either via reports and/or emails notify personnel on our end so they can take action accordingly. Same is true for client selections of monthly content and/or changes in their template selection, as well as notification they uploaded/input their content (depending on the plan selected, they may be required to provide some of the monthly content), etc. Create a report/plan, based on your investigation of the aforementioned areas, which will provide us with the best suggested method for creating our back-end system. This report will suggest the services or software to use for each of the major objectives, pros and cons regarding them, alternatives if appropriate, work necessary to integrate everything and overall time and cost necessary for that work, as well as time and cost for overall proposed system. **Functionality Required>** The system should have the following major areas of functionality: 1) Secure (login/password) client account creation when someone joins 2) Secure interface for clients to enter their account and to be able to make inputs and selections (detailed above). Aside from providing personal and cc or payment info, they will make their selection of available enewsletter templates (so we must be able to display the available templates to them in their account or an associated web page) and content from the appropriate content archives. They will also need to be able to upload their own content, images and email lists. 3) Content archival system we can control access to and that we can input content into. Eventually we want to be able to automatically pull or copy content from our archives for insertion into a client’s enewsletter template, thus automating that process. 4) Template archival system we can control access to. 5) Ability to manage (through email/list management software or through a service vendor) the entire email process, allowing us to send, manage, track and intelligently follow-up market to readers. This will mainly be accomplished using third party service provider or software, so we will need to integrate our system with theirs. 6) Query/reporting system that informs us if there is a problem, issues, changes, update, etc. Should be able to set up so reports/information made available in a number of formats (reports provided in response to queries, as well as when predetermined events occur, as well as sending email alerts for predetermined events. 7) Ability to capture visitor information at website and respond accordingly. 8) Ability to respond to client questions/issues/requests automatically and then track our response and final conclusion to their original query. 9) Ability to send a sample email to the client or visitor on the site (they are prompted/instructed to enter simply info, such as name, firm name, newsletter name they like, firm address and email address) and then the system automatically emails them a sample enewsletter with the info they provided in the newsletter. (Would like to do this right away, but if too costly/ time consuming then will wait to implement. ## Platform Currently we are leasing a server utilizing a Windows Server OS system. Our website is being redesigned and will be completed in PHP, so we will be changing? to a? Unix Server. This will be through 1&1 and will either be their Business Server I or Business Server II package (specs are located here? <[login to view URL];jsessionid=[login to view URL]>). We anticipate purchasing MySQL or similar database software if necessary and placing on the server.
