Customer & Leads Database

We are a mobile phone sales company, we sell contracts for O2, Orange and Three and we have a lot of data to be organized into a database. Currently we're using 2 excel spreadsheets, one for leads, and one for customers but this makes data entry and retrieval difficult.

We need a custom database which has 2 separate lists of records, 1 list will be customers and the other will be leads. A lot of the data entry will be similar for the 2 but it's essential that these 2 are split and each searchable on their own. The database needs to have the following properties:

- User friendly UI

- Simultaneous Multiple User Access

- Easy data input with real time search for duplicate data

- Ability to attach/upload files

- Easy to search and retrieve records based on certain criteria, example, searching for all leads currently on O2, or searching for all customers due for renewal in the next 12 months

- Notification system via email, we need to have an automatic system setup that will email us when a customer or lead is nearing the end of their contract, an example of this could be a text file is sent via email with the list of customers and leads that are due for renewal within 3 months

Some of the information to be input into database will be as follows:

- Title (Mr/Miss/etc)

- First Name

- Middle Name

- Last Name

- DOB

- House Name/Number

- Street Name

- Town/City

- County

- Postcode

- Contact Phone Number

- Mobile Number

- Network

- Tariff

- Monthly Cost

- Commission Received

- End Date

- Date Available For Renewal

- Phone Make

- Phone Model

- Phone Costs

- Misc Costs

etc etc etc

With the requirement for email notifications and multiple user access, it may be best to have the database standalone or made with some form of online software, a web domain and hosting can be provided if you think this is the best solution, other wise the software/files will be held in a folder on dropbox for multiple people to access at any time.

These are 2 scenarios we'd like to accomplish:

1. An employee gets an email from the database/software saying that 1 of the leads is due for renewal today, they ring the lead, they come into the shop and sign a new phone contract. The employee goes on the database/software and changes the lead to a customer.

2. An employee does a search for all customers on O2, sorted by contract end date, the customer wants a new phone, the employee re-signs the customer for another 24 months half way through their contract (12 months). The employee adds the commission we will receive, amends the end date, puts in the price of the handset and the database calculates the total profit for that customer.
