Dear Developers,

Re: CRM and ERP Solution Sought.

Project summary:

Currently, we are a single branch Estate Agent based in Kensington, London W14, UK. We seek a software solution that would automate the majority of our routine tasks so as we are able to free up more time to use on generating more business.

The solution must incompass a dynamic website (front end optimised [login to view URL]), locally hosted database (backend preferrably in MySQL), content management system (linking both ends preferrably in php) and also be composed of existent Open Source code that is customised to our requirements (e.g. open-realty, oscommerce etc; also look at [login to view URL] for more open source solutions).

The business functions we would want the solution to cover? Financials, HR, CRM, Sales Invoicing?

Accounting / Financials, HR, CRM, Property Management, Commercial and Residential Letting and Sales, Marketing and Web Management, Project and Inventory Management

As detailed below:

Accounting / Financials:

Landlord reporting, analysis and forecasting (None/Resident/Offshore, CF and balance sheet statements, IRR, debt to service cover ratios, loan swap, currency swap, etc)

Corporate/Office reporting, analysis and forecasting (multi-bank, full P&L, Payroll, NI Contributions, etc)

Property Management:

Landlord/agent preferred repairer contact billing details

Updating utility companies tenant details as well as the local council tax office etc.

Repair request logging

Job forwarding/monitoring (CORGI certification, plumbing, accounting, etc)

RFPs, RFOs (request for proposals, request for offers, tendering, bid management, etc)

Key monitoring

Commercial and Residential Property Letting:

Registering Property details (floor plans, pictures, video clips/tours, and utility supplier information)

Landlord details (Address, contact details, bank account information, etc)

Rental figures (per week/month/annum, excluding/including bills, currency conversion, etc)

Tenancy Deposit Protection automating the certificate generation process

Prospective tenant details and requirements

Automated viewing management (similar to outlooks reminders in the calendar)

Rental standing orders mandates/reminders

Commercial and Residential Property Sales:

Registering Property details (floor plans, pictures, video clips/tours, and utility supplier information, area/size, local amenities, lease length/freehold, etc)

Landlord details (Address, contact details, bank account information, etc)

Rental figures (per week/month/annum, excluding/including bills, currency conversion, etc)

Hips

Prospective buyer details and requirements

Automated viewing management (similar to outlooks reminders in the calendar)

Marketing and Web Management:

Automatic Matching (letting, sales, management, etc)

Automatic e-mailing, SMS messaging, proactive RSS/ESS, Posting

Automated Portal and website updation (coletestates, findaproperty, primelocation, rightmove, hotproperty, priomemove, roommate, flatshare, etc)

Advertising other service providers (surveyors, solicitors, contractors, plumbers, furniture suppliers, etc)

Advertise office vacancies (admin, IT, accounting, etc)

Website hits logging, enquiry logging

Project and Inventory Management / Development:

Project supervision/management (renovation, extension, loft, basement, timeline/cost management/accounting/stock management)

Key features: (must haves!)

Automation of ALL processes (Letter, contract, reports drafting, marketing, keys logging)

Diary synchronisation especially with outlook/each other (Network able)

Database backed and can update the dynamic [login to view URL] website directly

Covering residential and commercial Real Estate for Sales, Letting, Management, Valuation/Surveying services

Multi-Language, Multi-Currency in near real time as possible, Multi-Payment support especially the front end website

We are a company of:

~ 8 + staff

Current systems are:

MS Word, Excel, Outlook, Project, etc.

Main issues with it:

Laborious and not automated enough for the routine tasks.

We hope the above provides working examples of some of the functionality sought and of current costs of purchase of these ready made off-shelf solutions.

It must be stressed that the total budget for this project is much lower than the lowest / cheapest already developed off-the-shelf solution mentioned above and payment will only be made on delivery and full testing of the complete satisfactory project and NO part payment will be made prior at any stage.

Any seriously interested developers in this project must submit a final quotation for the delivery of the complete solution (original source code, executables and documentation) which they must stick to as there will NOT be any renegotiation of the quotation once the project starts.

Finally, this is not just a website project but more of a project to develop a corporation wide Customer Relationship Management and Enterprise Resource Management solution. Therefore, if any developer reading this project summary is unable to develop the FULL solution sought then they ought not to contact us.
