THE TAP Program...Team Advisor Program
We are in need of a custom database and web project that will give our client Consultants a Capture Page that will be identified by the url that is entered (ex. [login to view URL]) The 123 wildcard is the identifier for who is sending the prospect to the capture page and who the lead will belong to. At this point the prospect will enter their data and click submit. An email will be sent out to the Client Consultant with the entered information indicating that a prospect has entered their info. The prospect then will then be directed to a survey page to gather more personal information. Upon filling out the survey page and clicking submit, an additional email will be sent to the Client Consutltant with the complete information from the capture and survey pages combined. At this point, the prospect will be directed to a specified URL entered in the Client Consultnat Profile.
On the backend, The data entered by the prospect on the capture page and also the survey page are combined with the identifier from the initial Capture Page URL are entered into the database. The database has 3 user types of access; The Administrator,The TAP Advisor, and The Client Consultant. The follow are the operations needed and permissions for the entire program.
1. Capture Page
a. Add/Edit/Delete/Preview Text and HTML
b. Auto Transfer Data to Database tagged with client id tag from URL
c. Auto send email to client with entered information from Capture Form to email address client entered in client setup and Transfer data to Survey Page upon Submit.
2. Survey Page
a. Add/Edit/Delete/Preview Text and HTML
b. Auto Transfer Data to Database tagged with client id tag from URL of capture page
c. Capture additional data from page input form into database.
d. Check to see if TAP option is active for client
i. YES – Tag prospect lead with TAP designation for database. Transfer prospect to URL specified by Client in Client setup section tagged with client ID info from Entered Capture Page URL. Also initiate designated Autoresponder.
ii. NO – Transfer prospect to URL specified by Client in Client setup section. Also initiate designated Autoresponder.
3. Database - Store all data from all input forms
4. Autoresponder
a. WYSWYG interface to add/edit/delete/preview each email in the system.
b. Unlimited email capacity
c. Ability to set order and set date interval for sending of each email in system
d. Set up multiple email campaigns in the system, each triggered by separate criteria
e. Allow prospect to unsubscribe by clicking an included link in sent email and entering their email address. This should mark their record in the database for no more emailing.
f. Allow customization from prospect info in database
5. TAP Advisor Access
a. Password protected login
b. permission access to specific data in database
c. Have “Next Lead” button on TAP interface to populate the screen with the next available prospect lead in the system. If no leads are available, then display message…”There are no prospects available at this time!”
d. Prospect leads will be assigned to the TAP Advisors on a FIFO basis from the database of available leads.
e. TAP Interface will have an editable comments sections that will have unlimited storage space for comments. Each comment will be tagged with the Date and Time of each comment entered.
f. The TAP Interface will include an email the prospect section that will give the Advisor a choice of editable, pre-written email to choose from. When an email is chosen and sent, a line should automatically be entered into the comments sections stating which email was sent.
g. Each assigned prospect lead should be tagged in the database with the TAP Advisor ID
h. Access to change assigned lead status (active, dead, pending, enrolled)
i. Built in CallBack system
i. Have field for Advisor to enter date for callback
ii. System automatically prompt advisor upon login as to callbacks due. This should continue until advisor indicates in the lead that they have satisfied the callback status.
6. Client Access
a. Password protected login
b. Have Client profile screen to capture clients
i. First Name
ii. Last Name
iii. Consultant #
iv. Telephone number
v. Email address
vi. Replicated Website URL
vii. User name
viii. Password
c. permission access to specific data in database
d. Queries (only leads tagged with their tag from the URL)
i. Assigned Leads by status
ii. Individual lead info
iii. All assigned leads that are tagged with clients tag info
e. Stats from capture page
i. Total Hits
ii. Hits by date
iii. Hits by time
iv. Submits from Capture Page
v. Submits from Survey page
f. Ability to send messages to TAP Advisor assigned to lead (if any).
g. Ability to print lead information
7. Admin Access
a. Have master login for Master Administrator
b. Add/Edit/Delete/Preview info from:
i. TAP Advisors
ii. Clients
iii. Managers
iv. Autoresponder settings
v. Capture page
vi. Survey page
c. Control permissions of access of Advisors, Clients, Managers, and Admin users.
d. Query stats
i. Clients

3. Assigned leads and status
4. Leads by status
5. Login records
ii. TAP Advisors

2. Active/inactive advisors

8. Manager Access
a. Access to all TAP Advisors info assigned to their group
b. Ability to activate new TAP Advisors
c. Ability to make Advisor In-Active (no leads will be assigned to an inactive advisor and their login will be disabled until reactivated.
d. Query stats for advisors assigned.
