Build HR Investigation Access Database

Our cloud-based HRIS serves us well for day-to-day data, yet it offers no space to document formal investigations. Right now each case is typed into a Word template and saved manually—a process that makes version control, trend analysis, and quick retrieval a chore. I need this entire workflow moved into Microsoft Access so every investigation sits in one secure, searchable place. The database must capture everything we currently record: employee details, an overall investigation summary, every witness statement or piece of evidence we collect, and the final resolution or outcome. On top of that core structure, I want automated notifications (for example, reminders when a case nears its deadline), robust reporting tools that let us pull both individual case summaries and aggregated statistics, and access controls that differentiate roles inside the HR team while keeping all other staff out. Because only HR will use the system, security can focus on permissions within that group—investigators, reviewers, and an admin role for configuration. If you can integrate Outlook-based email alerts and generate polished PDF reports straight from Access, all the better. Deliverables: • A well-structured .accdb file with normalized tables for cases, people, evidence, and outcomes. • User-friendly forms for creating, updating, and closing investigations. • Automated notification logic tied to case status or target dates. • Pre-built reports (open-case list, case summary, outcomes dashboard) exportable to PDF/Excel. • Role-based security limiting use to HR only, with simple instructions for adding or removing HR users. • A concise user guide and a brief hand-off call or screen-share to walk us through the design.
