The Front Desk Office Assistant is responsible for performing administrative duties in an accurate and timely manner. This role will take on a wide variety of tasks and responsibilities. The ideal candidate will have a strong attention to detail and be able to meet deadlines in a fast paced environment.
Responsibilities:
• Assist Management with special projects
• Answer the main phone line in a professional manner and direct incoming calls
• Greet incoming visitors
• Receive incoming mail & overnight packages and distribute daily
• Process outgoing mail and FedEx shipments (as requested)
• Coordinate with Management on making travel arrangements
• Schedule and handle catering needs for Management, weekly lunches and other requested meetings
• Maintain an efficient inventory of office supplies (drinks & snacks included), janitorial and IT supplies
• Oversee janitorial, pest control and water delivery vendors (office only)
• Manage appliance maintenance requests for office
• Manage uploads to the LinkedIn account
• Register staff for ICAA classes & other training
• Create jobsite Safety & Foreman binders and distribute accordingly
• Coordinate with Management to assist with Company parties & events
• Update internal carpenter profile cards
• Run short distance errands (when applicable)
• Maintain kitchen (clean out fridge on Fridays, put clean plates/utensils away daily)
Requirements:
• Strong organizational skills with the ability to work at a fast pace
• Attention to detail and consistent work patterns
• Ability to work independently
• Excellent written, verbal and interpersonal communication skills
• Strong computer skills – MS Office, Outlook & Excel
• Office casual dress attire
