Subject: Albondigas Luncheon – Reservation & Payment Website Scope We want to finish a word press/woo commerce website for a monthly luncheon series. We need this website completed within the next 5 days. Project Overview We are launching a monthly luncheon series beginning April 10, 2026, inviting business and civic leaders to attend. The goal of the website is to make it simple for guests to: • View upcoming luncheon details • Reserve seats • Pay online in advance • Receive confirmation • Allow us to manage attendance and reporting easily We have installed WordPress with WooCommerce, and our payment processor is GoDaddy Payments. GoDaddy Payments plugin is installed and configured the RSA key and application ID. I have also installed Astra and Event Tickets. All free versions at this point. Likely to license Event tickets for full functionality. Site Structure & User Flow 1. Landing Page The homepage should clearly display: • The upcoming luncheon dates (we will provide copy and layout ideas) • Location • Time • Brief description • “Book Now” or “Reserve Your Seat” button We will also include imagery of the restaurant, address, parking information, and arrival time details. 2. Reservation Page / Checkout Flow When a guest clicks “Book Now,” they should be taken to a clean reservation form that includes: Required fields: • Name • Email address • Cell phone number • Number of tickets (quantity selector) If they select more than one ticket, the form should dynamically populate fields to collect the name of each additional guest (for name tags and attendance tracking). Pricing Structure: • $25 per person if paid in advance online • $30 per person if paying at the door We’d like two options: A. Pay Now (online credit card – $25 per person) B. Reserve & Pay at Door ($30 per person) Online Payment Requirements: • Credit card processing via GoDaddy Payments • Optional tip selection (10%, 15%, or 20%) for restaurant staff • Total automatically calculated • Confirmation receipt emailed to attendee • Notification email sent to us with reservation details Operational Features We Need 1. Capacity Limit We will likely cap attendance at approximately 50 people (final number TBD). Once capacity is reached: • The event should show as “Sold Out” • Option to join a waitlist (name + email capture) 2. Admin Dashboard / Reporting We need to be able to: • View all registrants • Clearly see who has paid vs. pay-at-door • Print a clean attendance list • Export to Excel/CSV for: o Mail merge o Printing name tags in advance 3. Future Database Use We would like to maintain the collected contact information (name, email, cell) for future invitations and communications. 4. Pay-at-Door Handling For guests selecting “Pay at Door”: • They should still complete the reservation form • We capture their information • Payment will be processed onsite via portable terminal • We will manually mark them paid afterward Additional Notes This is a recurring monthly luncheon, so ideally the site architecture should allow us to: • Duplicate the event each month – and show all the upcoming speakers with photo, have a drop down for a brief bio of each speaker for each monthly lunch • Update date/speaker details easily • Maintain clean organization of past and upcoming events Open to Your Recommendations If there is a cleaner way to structure this using WooCommerce (for example, separate ticket types or variations), I’m open to your recommendations. Also, if you believe an events-specific plugin (such as The Events Calendar or Event Tickets) would make the admin side more efficient, please advise – as mentioned I have already installed this plugin.
