Email RFQ Staging OUTLOOK Add On/ Application -- 2

- Stand Alone program or could be built for OUTLOOK as an Add-On

- Will have own email address for inbound Request for Quotes (RFQ)

- Receive all RFQ Emails from sourcing platforms:

o PartsBase

 Has a set template/ layout to the email

o Locatory

 Has a set template/ layout to the email

o Spare on Air

 Has a set template/ layout to the email

o Email Template

 Email template where we can populate certain fields to activate the Quote

- Filter out Part Number and Qty. required from the above emails

- Check Part Number against Own Stock

o SQL Database on Server

 Gather Own Stock details to build a Quote

- Check Part Number against ‘Special Parts’ Spreadsheet

o Excel File saved on Server with set fields

 Gather Stock details to build a Quote

- Check Part Number on Various websites of Suppliers

o Access Controlled websites

 ATR

• Gather Stock details to build a Quote

 Textron

• Gather Stock details to build a Quote

 KLX

• Gather Stock details to build a Quote

 Other

• Once decided

- Build a Draft Email reply to the original email received to include:

o Terms and Conditions of the Quote

 We must not be able to edit this

 Modified within the Add-On or Program only

• Admin approval required

o Build a Quote per ‘Supplier’ i.e.:

 Own Stock

 Special Parts

 Suppliers

o Quote to include in a table format:

 Part Number Requested

 Part Number Quoted

 Description

 Qty.

 Condition

 Certification Details

• Will differ based on various conditions

 Quote in EUR

• Standard Formula to be used per Supplier

 Lead Time in Days

• Standard Formula to be used per Supplier

o Quote Table will be able to be modified

 All Field Data can be changed

 Lines can be deleted or added

o Quote to be in the body of the email, plus as a .pdf attached to the email

o Quote saved per Part Number as a ‘Template’ quote on a database

 If same Part Number received within 14 Days, automatic Quote is sent without any action based on the previous quote sent

o User will then release/ send the Quote

o Multiple User access at any one time

o Copy of Quote also sent to various email address within the company as a record

 Parts@[login to view URL]

o Quotes numbering convention will be DATE + “/” + Sequential Numbering

 E.g. 26102017/1; 26102017/2
