Overview:
We are seeking experienced developers to create a robust Invoice Submission Portal to streamline and automate our invoicing process. The portal will serve both user and admin ends, providing a user-friendly interface for submitting and managing invoices and a powerful admin panel for system management.
User End: Registration Stage:
Users can register for an account by providing essential information: Username & Password, Company Name, Company Registration Number, Company GST Number (if applicable), Company Address, Company Contact Number, and Email Address.
Additionally, vendors are required to submit bank account details (Bank Account Number & Name of Bank).
User End: After Login:
Users can submit invoices using a user-friendly form.
The form includes fields such as Center Name (with auto-population based on admin settings), Date of Invoice, Credit Terms, Invoice Number, Description of Items (up to 10 line items per invoice), Quantity of Items, Total Amount (automatically calculated), GST Amount, Final Amount (Total Amount + GST Amount).
Users can select the recipient (invoice attention) from a predefined drop-down list set up by the admin.
Users can view a list of previously submitted invoices.
Duplicate invoice numbers are automatically rejected to avoid errors.
Once submitted, the system generates a PDF invoice with the submitting company's headers and sends it to the recipient's email inbox (PDF) while cc'ing the user.
Admin End:
Admins can add or remove users from the system.
Admins have the capability to manage centers, including adding or removing centers, specifying center names, UEN, and addresses.
Recipients can be managed by adding or removing them from the system.
Technical Specifications:
The application will be built using PHP and MySQL for robust and scalable performance.
SMTP server details will be provided for email functionality.
