Dynamics Email Invoice&WO Requirements Must be very familiar with Dynamics Field Service tables and some of its existing limitations. I would like to create a single file attachment and send it via email to the Account's Primary Contact email address, and then delete the file itself so we don't store unnecessary data in Dynamics. For documentation of communications with the Account, the Timeline needs to show that the email was sent and include the body of the email. This can be done as it currently does via a record in the Emails table but we need to delete the Attachment. The biggest challenge is that Word Templates only go 1 level deep and only all one entity for selection. To do it the way I prefer—an Invoice (however many pages needed—usually 1), followed by the a Work Order Summary all as a single document—will take multiple Entities with several relationships…see my list at the bottom. I prefer to pay a developer to create the “report” (or template, or whatever we want to call it), rather than pay something like MSCRM-ADDONS a monthly fee to do it. Work Flow When a Work Order is completed we either Post it so an invoice is created or we close it out without charge as either a warranty or complementary service. We use the WO Status field and test for Posted or Completed. If Completed then we use the WOSubstatus field and test for one of 3 complementary options. Based on the results we want to send the Invoice&WO Summary, or if complementary than just the WO Summary, via email as a PDF and then delete the PDF so it’s not stored in Dynamics wasting space. Defined Tasks Create a WO Summary document and email as per the below specs Create an Invoice & WO Summary document (single document) and email as per the below specs Automate the sending one of the above two documents based on the Status & SubStatus of the Work Order If posted then send the Invoice&WO Summary document If completed but complementary send the WO Summary based on one of 3 complementary SubStatuses WO Summary I can send a copy of what we currently send then we’ll want to add to it for the final result. Basically at the top will be General Info like customer, wo number, dates started/completed, etc. Then a Work Requested or Summary section. Then the Bookings which need to include Notes Time Entries Invoice I can send a copy of what we currently send then we’ll want to add to it for the final result.
